School Administrative Assistant

Job Description
Position:
MC2 High School is seeking a school administrative assistant to work at our Charter School. Under the supervision of the Principal, the school administrative assistant performs a wide variety of duties in such areas as enrollment, student records, student transportation, the lunch program, field trips, and supply and cash handling. These duties require frequent contact and interaction with parents, students, and other school district staff. This is an 11 month school year (August - June) 8 hour/day position and would begin as soon as possible (November 2017).
Essential Functions Include:
•Provide assistance to school administration, teachers, parents and students in order to assure the student’s success in the school’s program.
•Serve as a receptionist by greeting visitors and answering telephone calls in a cordial, professional and friendly manner; respond to questions and provide information related to school policies and functions; take messages or refer callers to appropriate personnel.
•Prepare correspondence, forms, reports, etc. for school administration and other staff members in a timely manner.
•Provide or arrange for appropriate care or first aid for ill and injured students and dispense medication per parent and/or physician guidelines; oversee other students in office as required.
•Register new students; Assist in enrolling, scheduling and providing information for new students; Receive, record and properly file incoming student records.
•Maintain permanent student records in database(s) (ie: health records, emergency contacts, attendance, student and family skyward access, entry/withdrawal records, etc.).
•Maintain student cumulative files/records.
•Maintains master school calendar of scheduled events; maintains calendar in school’s database.
•Input required attendance, grading, immunization and transcript information into school database(s) accurately and in a timely fashion.
•Compile information and prepare reports for assigned programs and school activities; compose correspondence and forms independently or from oral directions as required.
•Attend meetings and take minutes as required; prepare meeting agendas and assure inclusion of appropriate materials.
•Coordinate various projects independently requiring independent judgment and initiative.
•Operate a personal computer and peripheral equipment, using modern software, including word processing and data input; operate a variety of modern office machines and equipment such as a typewriter, calculator, FAX and copier;
•Sort and distribute mail.
•Maintain supply inventory of assigned area; order material, equipment and supplies as needed.
•Order, requisition, receive, and distribute/store supplies for school personnel and authorize payment per financial procedures.
•Receive monies for student activities; count money and prepares deposit slips. Call parents concerning non-sufficient fund checks as needed.
•Maintain financial record relating to the receipt and disbursement of funds (petty cash) - if applicable.
•Administer the district school breakfast, lunch and milk programs; receive and receipt monies for the sale of student lunch program; receive and review federal lunch applications; maintain records of monies received and program participants to compile regular reports in accordance with district procedure; deposit monies.
•Process documents and materials for the purpose of disseminating information to appropriate parties.
•For positions with bilingual designations, translate a variety of written materials from •English to a second language and from that language into English; interpret and facilitate communication between staff and non-English speaking parents.
•Perform related duties and responsibilities as required.
Quality Candidates should possess:
•High school diploma or equivalent required; supplemented by college level coursework in business administration or a related field preferable.
At least three (3) years of secretarial skills/experience; preferably in a school setting.
•Fluent in both English and Spanish.
•Ability to translate written materials in English and Spanish.
•Effective oral and written communication skills.
•Ability to perform basic math calculations and handle cash accurately.
•Basic keyboarding skills and the ability to learn and use departmental computer software.
•Ability to accurately maintain numerical and alphabetical filing systems.
•Ability to learn and use various types of office equipment.
•Ability to take directions, work in a team environment and maintain good working relationships with multicultural students, coworkers and the public.
•Ability to multi-task and meet varying deadlines regularly.
•Ability to maintain confidentiality regarding all work activities.
•Customer service skills and the ability to represent the school in a positive and friendly manner.
•Lift 20 pounds.
•Maintain regular attendance.
